This position is a high priority for our District for the 2022-2023 year and is contingent upon continue available district, grant and state funding.

The Santa Clarita Community College District/College of the Canyons is seeking a full-time Program Specialist II (Kinesiology and Athleltics) staff member in the Kinesiology, Physical Education, and Athletics Department.

"BIG PICTURE" RESPONSIBILITY:

Under the direction of the Athletic Director, in conjunction with the Dean of Kinesiology, Physical Education, and Athletics assists the Athletic Counselors with student advisement, the Director, Public Relations & Sports Information with maintaining Athletics web presence, assist with CCCAA Eligibility of student-athletes, assist with game management duties such as taking statistics during contests, (including nights and weekends), and performs a variety of specialized and technical duties in support of the day-to-day operation of the School of Kinesiology, Physical Education, & Athletics. Acts as a liaison on behalf of the Athletic Department to outside agencies to organize events and presentations. Serves as technical support to ensure optimum office performance and compliance with CCCAA standards, relieve the Dean and Athletic Director of clerical duties and assists the Athletic Counselors to ensure student success. Coordinates and implements practices to improve the School’s organization and scheduling needs, utilizes and maintains technology and social media to provide athletes with the most up to date information possible. Performs other related duties as assigned.

ESSENTIAL DUTIES:

The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to this class.

1. Maintains current knowledge of changes, updates, methods, requirements, regulations and policies for the athletic program.

2. Performs technical computer duties related to student databases, report preparation, word processing, spreadsheet functions, student correspondence, website and social media account (Twitter, Instagram, Facebook, YouTube, etc.) maintenance.

3. Assist with maintenance of all statistical based computer programs for the purpose of recording and reporting mandated game statistics and results to the Western State Conference and the CCCAA.

4. Assists the Director, Public Relations & Sports Information to maintain the COCathletics.com website and other public facing information display areas (campus monitors, event calendars, bulletins boards, athletic signage, etc.). Projects include: website content creation and management updates (rosters, bios, game statistics, scores and event results), provides contacts with representatives of PrestoSports.com.

5. Assists the Director, Public Relations & Sports Information with a variety of statistical support. Projects include: uploading statistical files to COCathletics.com, printing and distributing stats to coaches and members of the media, reviews final box scores and statistical data for accuracy and makes corrections as needed. Works closely with other community college athletic departments to ensure statistical accuracy and policy compliance.

6. Assists in regulatory compliance of game management for athletic events. Serves as the college’s athletic game manager when necessary.

7. Utilizes online software program to confirm required game officials to home games and prepares payment request paperwork in advance of each competition. Submits completed paperwork to Athletic Administrative Assistant in a timely manner for processing of payments.

8. Assists the Director, Public Relations & Sports Information with game day press box/sideline operations, including media relations, statistical setup, technology operations, event coverage, etc.

9. Assists the Director, Public Relations & Sports Information with research, design and production of “game notes” rosters and materials to be distributed at COC home games.

10. Assists Head Coaches with program development.

11. Assists with record keeping of donations and deposits for various athletic club accounts, ensuring proper documentation of each transaction.

12. Provides student-athletes with information on College services. Provides information relevant to applications and deadlines. Assists students in making program changes and corrections. Advises students on District procedures for course prerequisite challenges, placement waivers, and academic standard petitions.

13. Communicates with coaches to ensure new athletes complete matriculation steps and are prepared academically for the season.

14. Assists and advises student-athletes regarding academic programs requirements, CSU GE and IGETC general education requirements, and assists students with transfer, which includes timely completion and submittal of necessary applications, the acquisition of financial aid, housing, etc. Identifies other university services, programs and personnel to contact for assistance in the transfer process.

15. Schedules appointments for the Athletic Counselor using SARs scheduling software.

16. Keeps record of athletic team rosters and manages the assignment of priority registration dates for student athletes.

17. Uses the administrative database to send transcripts, confirm completion of matriculation requirements, check degree progress and assign registration dates.

18. Runs GPA reports for student athletes and compiles data into spreadsheets for the Athletic Counselor.

19. Responds to inquiries via phone and email in regards to counseling and athletic department policies.

20. Maintains confidentiality of student-athlete, employee, and other office records.

21. Assists Athletic Director to ensure student-athlete eligibility compliance and reporting requirements. Monitors student-athlete tracers to Admissions & Records and other academic institutions to ensure student-athlete is eligible for athletic participation in accordance with District policies, State Athletic codes and Conference requirements.

22. Assists to plan and prepare all athletic fundraisers, special events and other related activities and/or functions.

23. Assists in coordinating intercollegiate athletic contests, sporting events and related athletic events.

24. Attends professional meetings/conferences and specialized training to enhance professional development and increase the operational effectiveness of counseling services.

25. Performs other related duties as assigned.

MINIMUM QUALIFICATIONS:

Experience:

Minimum of two (2) years full-time equivalent experience working in community colleges, universities, high schools, community agencies, or similar work involving programs or activities to assist the public, or comparable experience in a position which includes specialized clerical duties and interaction with the public.

Education:

Equivalent to an Associate’s degree (60 semester units). Two additional years of experience as identified above may be substituted for one year of college. 

DESIRABLE QUALIFICATIONS:

  • Earned Bachelor’s degree in the field of Kinesiology or Sports Medicine.
  • Student information systems commonly found in higher education, and electronic scheduling software.
  • A basic knowledge of sports and athletic competition (rules, positions, statistics, etc).
  • Knowledge and experience of athletic statistical keeping software (PrestoSports).

DEMONSTRATED KNOWLEDGE AND ABILITIES:

Position requires knowledget o: 

  • Applicable laws, codes, regulations, policies, and procedures relating to Collegiate athletics.
  • Oral and written communication skills. Application of proper grammar, spelling and punctuation.
  • Ability to record real time statistics during intercollegiate contests, specifically football, basketball, soccer, volleyball, baseball, softball.
    Recordkeeping techniques.
  • Athletic statistical operations and processes, along with a basic knowledge of sports (player positions, basic game rules, corresponding statistics etc.)
    Interpersonal skills using tact, patience, and courtesy.
  • Microsoft Office Suite software (Excel, Word, Outlook, and PowerPoint) and other business related software.

Position requires ability to: 

  • Learn, interpret, and apply legal mandates, policies, regulations, guidelines and operational procedure.
  • Learn, train with and eventual mastery of PrestoSports.com statistical processes and website operations.
  • Demonstrated knowledge of and implementation of diversity, equity, inclusion, and antiracism efforts in an educational setting.
  • Demonstrated experience with guided pathways framework.
  • Perform repetitive work, or continuously perform the same work with accuracy and efficiency.
  • Be present for home contests, including nights and weekends.
  • Establish and maintain a variety of comprehensive and accurate files and records, prepare concise and complete reports as required.

    Demonstrate clear evidence of sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds of community college students.

SALARY PLACEMENT:

Salary placement will be on Range 28 of Classified Represented Salary Schedule B ($4,765.00 - $5,343.00 per month).

**Initial salary step placement for new employees is customarily at step 1, 2, or 3 ($4,765.00 / $5,058.00 / $5,343.00 per month) of this 20-step salary range.

Probationary period for new Classified employees is 6 months. Work year is 12 calendar months. The normal workweek for this position is 40 hours. Paid holiday, discretionary, and sick time are provided. Ten vacation days accrue during the first year of employment. A regular work schedule will be assigned, with the ability to occasionally work a flexible schedule as needed with supervisor approval.

PHYSICAL DEMANDS:

Position requires sitting and viewing of a computer monitor for extended periods of time, dexterity of hands and fingers to operate a computer keyboard; reaching, bending, and stooping, frequently exert 10 to 20 pounds of force to lift, carry, push, pull or otherwise move objects; hearing and speaking to communicate and provide information to others; vision to read printed material and computer monitor. In the event of an emergency, employees may be relied upon to serve as emergency service workers.
