The Santa Clarita Community College District/College of the Canyons is seeking a full-time Student Services Coordinator I (Career Center) in the Student Services division.

"BIG PICTURE" RESPONSIBILITY:

Under the direction of the Associate Director of Job Placement for Workforce Development, coordinates a wide variety of complex and specialized administrative and technical functions, serves as a management aide to the administrator providing relief from administrative and clerical detail, and assists in the organization and coordination of the staff activities of the administrator’s office and Career Central training room.  Performs other related duties as assigned.

ESSENTIAL DUTIES:

The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to this class.

 

  1. Oversees and coordinates day-to-day operations of the Career Center. 
  1. Serves as liaison between the Associate Director of Job Placement for Workforce Development and the public, staff, and other District or campus officials. 
  1. Performs specialized computer duties; creates and maintains database files, retrieves student data using college administrative system, prepares reports. Creates and maintains databases, including but not limited to, employer on-campus recruitments, placements, and other Career Center related information (job orders, etc.). 
  1. Maintains CSO JobSpeaker database online software, ensuring data consistency, troubleshooting issues, designing queries, generating reports, and training other department staff on CSO software. Coordinates with Computer Support and CSO technical support to resolve issues. 
  1. Performs routine and complex clerical tasks including transcription, maintaining a calendar, scheduling appointments, screening and distributing incoming and outgoing mail, maintaining office inventory (ordering, receiving and storing), and maintaining confidential files and records. 
  1. Provides information and data requested from other operational units of the District. 
  2. Interprets and disseminates policies, regulations and operational procedures pertaining to this service area to staff, students and community members contacting the administrator’s office either by telephone or personal visitation. 
  3. Coordinates and provides project management and oversight for Career Center events, including Job Fairs, Resume Rallies, special events, classsroom presentations, etc. Assists in the development of new events including arranging marketing, recruiting of volunteers, securing sponsors, and managing registrations and payments. 
  1. Receives and transcribes correspondence, reports, and other forms of communication and prepares them in the appropriate format. Composes, independently or in accordance with general instructions, correspondence and other complex reports concerning a wide variety of subjects. 
  1. Assists all other student service departments by aiding students and staff needing Career Center support. 
  1. Maintains accurate and up-to-date automated records, files and ledgers on program fiscal operations and staffing budgets. Makes deposits, maintains accurate income and expenditure records, and completes and verifies purchase orders. Maintains confidentiality of student records, and office and staff correspondence. 
  1. Creates and monitors schedules of student employees and hourly employees. 
  1. Coordinates the interview, hire and processing of new short-term employees, college assistants, and volunteers to determine qualifications and eligibility for the department in collaboration with the Associate Director of Job Placement for Workforce Development. 
  1. Trains and provides supervision and work direction to college assistant and short-term personnel. 
  1. Assists and advises students on career fields, job trends, labor market information, employer information, and job search techniques. 
  1. Provides orientation and assistance to students and community members regarding the Career Center. 
  1. Coordinates employer on-campus recruitment visits, including but not limited to, contacting and confirming employers, scheduling on-campus visitation dates, obtaining and emailing parking passes. Interfaces with employers, in person and on the telephone for the purpose of posting job opportunities. 
  1. Assists students with career center assessment software and LinkedIn Learning access. 
  1. Types, edits and lays-out department newsletter and other program publications. 
  1. Develops and maintains Career Center website and social media sites. 
  1. Attends meetings and takes notes into summary minute form, as needed. 
  1. Drafts, independently or in accordance with general instruction, monthly Board of Trustee board agenda items. Gathers information for these items from various sources and prepares reports in an appropriate format. 
  1. Performs other related duties as assigned.

MINIMUM QUALIFICATIONS:

Experience:  

Equivalent to two (2) years of full-time experience in a recruiting or staffing role. Working knowledge of word processing, business office organization, financial recordkeeping and other related skill areas including computer literacy. 

 

Education:

Education equivalent to an Associate’s degree (60 semester units) from an accredited institution is required. Two years direct experience in addition to that identified above may be substituted for each one year (30 semester units) of college.

DESIRABLE QUALIFICATIONS: 

  • Student Services related work experience.
  • Prior experience performing event coordination and/or administrative support duties.
  • Prior experience overseeing projects through to completion.
  • Prior experience managing complex database applications.
  • Prior experience working with advanced technology and advance use of computer applications such as MS Office Suite which includes Word, Excel, Outlook, PowerPoint and Access, and District MIS software.
  • Knowledge of Equal Employment laws.
  • Proactive, positive attitude when approaching and accomplishing new tasks and resolving process issues.

  1. Ability to work at a desk, conference table, counter, or in meeting rooms of various configurations for extended periods of time. 
  1. Establish and maintain cooperative working relationships with faculty, staff, trainees, and others connected in the performance of duties.

  1. Ability to exhibit leadership on team projects. 
  1. Demonstrate clear evidence of sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds of community college students, staff and community.

 

SALARY PLACEMENT

Salary placement will be on Range 32 of Classified Represented Salary Schedule B ($4,779.00 - $8,062.00 per month). Initial salary step placement for new employees is customarily at step 1, 2, or 3 ($4,779 / $5,072 / $5,358 per month) of this 20-step salary range. 

Probationary period for new Classified employees is one year. Work year is 12 calendar months. The normal workweek for this position is 40 hours. Paid holiday, discretionary, and sick time are provided. Ten vacation days accrue during the first year of employment. A regular work schedule will be assigned, with the ability to occasionally work a flexible schedule as needed with supervisor approval.

Full-time employees are provided with a diversified program that includes medical, dental and vision insurance including dependent coverage, disability and life insurance as well as Section 125 options.  These benefits commence on the first of the month following date of hire. RETIREMENT: Classified employees contribute to the Public Employees' Retirement System (PERS), a defined benefit retirement plan through the State of California.

PHYSICAL DEMANDS

Sedentary position requires use of a computer and related equipment for extended periods of time; frequently exerting 10 to 20 pounds of force to move objects; communicating and providing information to others; work outside on all parts of the campus and in varying weather conditions. In the event of an emergency, employees will be relied upon to serve as emergency service workers.
